Edit Matter Types
When a Matter is created, you can choose what catagory and type of Matter this Matter will be (for example, a Visa Application for a 189 Visa, an Appeal etc). The Matter Type you select here will flow through to future processing of this Matter for functions like Letter Merging, Accounts, Progress Items and eLodge.
Migration Manager does have a standard set of Matter Types, however you may want to add new types or remove unwanted types. This is done via the Edit Matter Types function.
1. Accessing Edit Matter Types
From the Main Menu, select Schedules, then Matter Types, then Edit Matter Types.
The Matter Type Window consists of three panes
- The left pane is the Matter Category. This is so you can group Matter Types into particular Categories for ease of use.
- The middle pane is the Matter Type. If you click a particular Category in the left Pane, you will see which Matter Types exist for that Category.
- The right pane is the Matter Stream. By selecting a Matter Type in the middle pane, you can see what Matter Streams are available for that Type.
In the below example, we are looking at the Visa Application Category and by selecting the 189 Skilled Independent Matter Type we can see there are two streams available.
2. Adding a new Matter Category
If you need to add a Category that does not already exist, click the +Add button in the left pane.
2.1. Name the Category
Enter the Name of the new Category then click OK.
By default, Migration Manager will also create a Progress Category (for your Progress Lists). However, if you do not want a Progress Category created, slide the switch to NO.
3. Adding a new Matter Type
To create a new Matter Type, first select the Category from the left pane that you would like this Matter Type to be in, then click the +Add button in the middle pane.
3.1. Name the Matter Type
Enter the Name of the new Matter Type then click OK.
By default, Migration Manager will also create a Progress List for this Matter Type. However, if you do not want a Progress List created, slide the switch to NO.
4. Adding a new Matter Stream
To create a new Matter Stream, first select the Category from the left pane, then select the Matter Type that you would like this Stream to be in, then click the +Add button in the right pane.
4.1. Name the Stream
Enter the Name of the new Stream then click OK.
By default, Migration Manager will also create a Progress List for this Matter Type and Matter Stream. However, if you do not want a Progress List created, slide the switch to NO.
From the steps below, we can now see a new Matter Category, Matter Type and Matter Stream.
These items can now be selected against our Matter.
Editing, Retiring or Deleting items.
All 3 panes (Category, Matter Type, Matter Stream) have the same right-click options for Editing, Retiring or Deleting items.
1. Editing an item
To Edit an item, simply right-click on the item and select Edit…
Edit the Item as required, then click OK.
2. Retiring an Item
Retiring an Item will not remove the item from the database. It will simply make it no longer available for selection against a Matter. Existing Matters with this Matter Type previously selected will still show the retired items on their cover page.
This is a good option if you wish to ‘hide’ items that you do not use as part of your business (example. You may not process 161 Visas so these can be retired so they are out of view. Then if you do want to process these at a later point, then can be un-retired).
To retire an item, simply right-click on the item and select Retire…
Click YES to confirm.
Note. Associated items will also be Retired (example. If I Retire my Matter Category, then Matter Types and Streams within that Category will also be Retired).
3. Deleting an item
Deleting an Item will permanently remove it from the Database.
To Delete an item, right-click on the item and select Delete.
Confirm Deletion by clicking YES.
Un-retiring Items
Items that you have retired previously can be un-retired so that can be used again.
1. Show Retired Items
Slide the Show Retired switch to YES.
2. Un-retire the item
Right-click on the item and select Unretire…
Confirm by clicking YES.
3. Close
When you are finished, click the Close button.
