How to Search Accounts for work billed to a client across multiple matters
The Accounts Search tool provides users with a powerful tool to search for Accounts' transactions. This article covers how to use the Accounts Search function to create a report of the Fees, Costs and Disbursements which have been billed to a particular client for work performed on multiple matters.
1. Go to Accounts > Search Accounts
In the main toolbar, click on the Accounts button and then select Search Accounts.
The Accounts search window will now appear.
2. Set Search Parameters
To perform the search you will need to set the parameters of what you want to search for using the following options (either individually or in combination). For this example, the search will be focusing on all Fees, Costs and Disbursements that have been invoiced to a particular client in the last month for work performed on all of the linked matters, displaying information such as:
- The matter the work was performed on
- The transaction number and description
- The amount of the fee/cost/disbursement
- The matter type and status of the matter where the work was undertaken
- The client (and matter number) billed to
- The amount of tax and tax code used
2.1. Set the Transaction Type
The transaction type search parameter allows you to set the scope of the search to include all transactions or to limit it to a specific type of transaction i.e. just show time entries. For this example, the transaction type is set to All Fees, Disbs and Costs
2.2. Set the Billed To and Matter options
The Work Done On/Billed to dropdown in conjunction with the Matter dropdown lets you limit the search to transactions that have either occurred on a particular matter or been billed to a particular client. By selecting a specific matter you will only see results related to that client/matter.
In this example, because we are wanting to find out information about all of the work billed to a particular client, the dropdown is set to Billed To and the name of the client (in this case a sponsor) to whom work has been billed to.
2.3. Set the Date Options
The date options section allows you to limit the search results based on date. In this example the time period is being limited to the last 30 days
Note that if you set the search option to be something other than 'All Periods', you will then be given an option to search by the actual Transaction Date or the Entry Date (being the date the transaction was entered in to Migration Manager).
2.4. Set the Billing Status
The Fee/Cost/Disbursement options allows you to limit a search based on a specific code that has been used to generate a transaction:
- Fee Code: use this option to limit the search to a particular type of Fee code that has been used;
- Disb Code: use this option to limit the search to a particular type of Disbursement code that has been used;
- Cost Code: use this option to limit the search to a particular type of Cost code that has been used.
Billing Status dropdown lets you limit the Fees, Costs or Disbursement transactions shown based on their billing status
For this example, we want the result to show all of the fees that have been invoiced so the Billing Status is set to Invoiced.
Note: it is not possible to use the Billed To search to view results for unbilled fees, costs and disbursements.
3. Set the columns to appear
Next you should set whether you want any additional columns to appear in the results to display additional information. Note that if you don't set any additional columns the default columns which appear are Date, Transaction No, Matter, Description, Debit and Credit.
In this example, because we want to create a detailed report about who was billed and for which matters, the following options were selected.
You also have the option for the results to include any item which has been deleted and whether you want to group the results by Transaction Type (this is set by default).
4. Click Search
To perform your search based on the parameters and view settings you have chosen, click the Search button.
5. Review Results
The results will now appear. Note that with the number of columns, it will be necessary to expand the window to full screen.
