Recording your client's VEVO consent in MM
VEVO consent is a very hot topic of conversation in the migration industry!
Regardless of how you obtain consent from your clients to run a Visa Entitlement Verification Online (VEVO) check (through the clause listed in your services agreement, an employment contract for compliance teams, or through the use of a separate VEVO consent form), it may be beneficial to have this consent recorded in MM for file management for reporting purposes.
What is the benefit of having VEVO consent recorded in MM?
By having the VEVO consent recorded in MM, you will be able to quickly confirm if you can run a VEVO check if you are in a call or in a meeting with your client. You will also be able to generate reports to identify which clients have provided you VEVO consent.
VEVO consent in the Web Questionnaire ‘Terms and Conditions’
If your client completes a web questionnaire, as part of the terms and conditions, they have provided you consent to run a VEVO. Below are the Web Questionnaire's Terms and Conditions which appear just before your client submits the completed Web Questionnaire via the Secure Client Portal.
Ways to record VEVO consent in MM
There are several ways that you can record VEVO consent in MM for file management and/or reporting purposes. I have made a shortlist of some fields that some of our clients have used to record VEVO Consent -
Recording VEVO consent in 'Alternative Ref' field
The benefit of recording ‘VEVO consent’ in the Alternative Ref section is that it is easily viewable on the matter Cover Page and is a field that can be used for reporting purposes.
Recording VEVO consent in 'Alternative Reference 2' field
If your current process already utilizes the Alternative Ref field (ie employment ID or costing approvals for example), ‘VEVO consent’ could be recorded in the Alternative Reference 2 field which is viewable by clicking the ‘more’ button to the right of the Alternative Ref field.
Recording VEVO consent in 'Fax Number' field
As generally, it is unusual for clients to provide a fax number, VEVO consent can be recorded in the fax number field. The benefit of using this field is that it is easily viewable on the matter Cover Page and is a field that can be used for reporting purposes.
Recording VEVO consent in 'Referral/Source' field
If you do not use the Referral/Source drop-down list to track how a case has come to you or your business, you could create a new Referral/Source item called ‘VEVO consent’ and select it when consent has been received. The benefit of using this field is that it is easily viewable on the matter Cover Page and is a field that can be used for reporting purposes.
Recording VEVO consent in 'Summary Note' field
You can record ‘VEVO consent’ and any other information you may deem relevant (date consent provided) in the Summary note. The benefit of using this field is that it is easily viewable on the matter Cover Page and is a field that can be used for reporting purposes, however, please note that reporting on this field can take a little bit longer than usual as MM will be searching a free text field for ‘VEVO consent’.
Compliance monitoring
If you are engaged by a company to carrying out employment compliance checks for temporary or bridging visa holders, you will be able to run a report to identify the individuals who have provided VEVO consent and run a Batch VEVO search for the employer to confirm if the employees continue to have work rights.
